Position Summary
We are seeking a highly organized, proactive, and discreet Executive Assistant at our Denver headquarters. This in-person role is ideal for a resourceful professional who thrives in a fast-paced, dynamic environment. The successful candidate will anticipate needs, handle sensitive information with absolute confidentiality, and seamlessly balance professional and personal support responsibilities. Key Responsibilities
Executive Support
• Manage and optimize a complex calendar, including meetings, events, and deadlines, while resolving scheduling conflicts.
• Prepare agendas, briefing materials, and presentations; record action items and ensure follow-through.
• Screen and manage all communications and correspondence on the executive’s behalf.
• Plan and coordinate trade-show participation, executive off-sites, and company meetings.
• Serve as a gatekeeper, protecting the executive’s time and focus.
Travel & Logistics
• Arrange domestic and international travel, producing detailed itineraries and contingency plans.
• Coordinate with airlines, hotels, ground transportation, and event venues to ensure seamless execution.
Personal Assistance
• Handle personal errands, appointments, and household logistics.
• Coordinate family travel, dining, entertainment, and special occasions.
• Liaise with vendors, service providers, and personal contacts with professionalism and discretion.
• Track expenses, process bill payments, and facilitate charitable contributions.
• Provide occasional support for family events, celebrations, and gifting.
Qualifications
• Bachelor’s degree preferred.
• 3+ years of experience, ideally in entertainment, events, or hospitality, but not an absolute necessity.
• Exceptional organizational and time-management skills; proven ability to multitask under tight deadlines.
• Excellent written and verbal communication skills.
• Proficiency in Google Workspace and familiarity with travel-booking and expense-management tools.
• Demonstrated sound judgment and a strict commitment to confidentiality.
• Flexibility to work extended hours during peak seasons and to travel as needed.
• Event-planning or production experience is a plus.
